PEP is currently hiring a part-time Community Coordinator responsible for the day-to-day management of our BackPack Program and community collection efforts. This employee will also assist with marketing and communication efforts and occasionally assist the director with additional organizational responsibilities.
Community Coordinator (10-15 Hours Per-Week)
BackPack Program Coordination
The PEP Foundation’s BackPack Program serves over 800 students experiencing food insecurity by providing weekly food bags for those enrolled to have nutritious food on the weekends when school is not in session. The Program is a collaboration of School Counselors, Churches, and Businesses who work to plan, pack, and distribute food to students in 14 Putnam County Schools.
The coordinator would be responsible for the day-to-day management of the Backpack Program, which includes:
Placing weekly orders for the program (Tuesday)
Picking up food at secondary suppliers and overseeing weekly food distribution (Friday)
Ensure food storage maintains all BPP grant and food safety compliance requirements
Communicate with counselors and program coordinators to execute backpack tasks
Visit packing locations (annually)
Maintain contact lists of program coordinators
Update and maintain the program manual and make necessary changes
Update and maintain registration forms and plans and communicate changes to key stakeholders
Attend family engagement events at the beginning of the school year to help parents register for the BackPack Program.
Plan an annual luncheon for coordinators and counselors (Before School Starts annually)
Bin collection
The PEP Foundation recently launched community collection bins, which are used to increase community involvement around specific student needs. Bins are adopted by local businesses to collect needed items, which are then distributed to schools or programs in the Putnam County School System based on identified needs.
The coordinator would be responsible for overseeing the collection and distribution of in-kind community collection donations, which includes:
Scheduling bin drop off and pick up with community partners
Drop off and pick-up bins at collection sites
Coordinating the distribution of collected materials
Maintain a list of collection sites and bin assignments
Marketing/ Communications
The coordinator is expected to assist the director with general office duties and marketing responsibilities as assigned, which can include:
Assisting the director in maintaining the donor database and marketing database
Canvasing community businesses and initiating relationships with local businesses
Creating marketing materials and graphics for all campaigns and fundraisers
Maintaining social media presence; managing account and content creation plan for assigned programs
Writing a monthly newsletter
Organizational Assistance- Additional administrative duties may be assigned as needed, such as assisting with errands for the organization, assisting with general office duties, attending family engagement and community events, and attending committee meetings.
Preferred Qualifications
Bachelor's Degree in communications, marketing, education, or related field
Experience with fundraising or non-profit organizations.
Ability to move food, boxes, and collected materials independently
Strong written and verbal communication skills
Demonstrated organizational skill and attention to detail
Reliable transportation and valid driver’s license.
Experience with Google Docs, Google Sheets, CANVA, and CRM System management
Pay will be based on experience and may range from $15-$18/hour.
